We are looking for a responsible Executive Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Duties and responsibilities • Organize and schedule appointments • Plan meetings and take detailed minutes • Assist in the preparation of regularly scheduled reports • Submit and reconcile expense reports • Act as the point of contact for internal and external clients • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers • Prepare internal and external corporate documents for team members and industry partners • Schedule meetings and appointments • Maintain an organized filing system of paper and electronic documents • Uphold a strict level of confidentiality • Develop and sustain a level of professionalism among staff and clientele • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients Essential skills: • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software • Proficiency in collaboration and delegation of duties • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities • Exceptional interpersonal skills • Excellent written and verbal communication skills • Friendly and professional demeanour • Bilingual (French and English). Mother tongue in French is mandatory.
